    Printer Showing Offline? Here's the Fix

    Why Printers Show Offline

    Network Issues

    Printer's IP address changed. WiFi connection dropped. Router restarted and assigned new IP.

    Windows Issues

    Print spooler service stopped. Corrupt print queue. "Use Printer Offline" accidentally enabled.

    Quick Fixes (Try These First)

    1. Check "Use Printer Offline" Setting

    Open Settings, then Devices, then Printers and scanners. Click on your printer, then Open queue. Click Printer menu and uncheck "Use Printer Offline" if checked.

    2. Restart Everything

    Turn off printer. Restart computer. Turn printer back on. Wait 2 minutes for connection.

    3. Clear Print Queue

    Open printer queue. Cancel all pending jobs. Try printing again.

    Advanced Fixes

    Restart Print Spooler Service

    Press Windows+R, type "services.msc", press Enter. Find "Print Spooler". Right-click and Restart.

    Re-add Printer with IP Address

    Find printer's IP address. Remove current printer from Windows. Add new printer using TCP/IP address.

    Preventing Future Offline Issues

    Use Static IP Address

    Most reliable solution. Prevents IP changes when router restarts. Computer always knows where to find printer.

    Use Wired Connection

    If possible, connect via Ethernet. More reliable than WiFi. Less prone to connection drops.
